The Annual Giving & Regional Programs unit raises private gifts on behalf of UC Berkeley from its students, alumni, parents, and friends of the University. Annual Giving & Regional Programs runs a complex direct response fundraising program that consists of direct mail, tele-fundraising, e-mail solicitations, and advertisements. These programs are complimented by personal volunteer solicitation programs which raise higher level annual and special gifts.The program raises $7,250,000+ from 25,000+ donors each year. This position is responsible for coordinating 50+ highly specialized direct mail and email campaigns to raise contributions from UC Berkeley?s alumni, parents, students and friends. He/she must ensure the production of direct and electronic mail solicitations on a timely, accurate, and cost-efficient manner.Responsibilities include: developing strategic plans for donor acquisition, renewals and upgrading, implementing direct response marketing strategies and best practices, managing ongoing mail production (i.e. project management, bidding, vender selection-relations, scheduling, printing, mailing, data ordering-review, appeal development-review, etc.), analyzing and communicating results, and managing program budget. The following opportunity exists in our South San Francisco, CA facility: Sr Administrative Assoc Job ID: 1000025379 South San Francisco, CA Responsibilities: Key Responsibilities o Act as the departmental "go-to-person" for general operational, administrative questions or other inquiries o Assist the assigned team in various administrative or operational activities such as coordinating, scheduling and preparing for meetings or presentations, gathering information and/or conducting analyses needed for the department's work, formatting or editing departmental materials, presentations or other documentation, channeling communication between the department and other GNE groups, planning, coordinating and managing various meetings and events, payment and expense report processing, etc. o Ensure all assigned work is completed on-time and without compromise to quality; fully meeting or exceeding expectations, goals and targets o Improve work unit efficiency by streamlining and reducing administrative or operational burdens from manager and other team members o Work collaboratively, effectively and efficiently with all internal/external partners & stakeholders o Participate, as and when needed/appropriate, in cross-functional or other project teams; helping the overall business of Genentech to continuously evolve, improve & excel o Follows all laws, regulations and policies that govern the conduct of all activities. Responsibilities include managing multiple heavy calendar schedules; coordinating and arranging teleconferences, travel and onsite/offsite meetings; preparing presentations; managing invoices for one or more legal groups; managing staff meetings for one or more legal groups; answering busy phones; typing, formatting and proofing of legal agreements; file management; scheduling and drafting of interoffice memos; and general correspondence. Experience with contracts and red-lining a plus. The job requires handling of, and exercising judgment and discretion concerning, sensitive/confidential and proprietary information. REQUIREMENTS: The candidate should have a high school diploma and 7+ years related experience in the legal field or as an executive assistant; excellent interpersonal and written communication skills; sound judgment, discretion, and professionalism; the ability to work effectively, independently and accurately, sometimes under pressure; and the ability to work and interact with a wide range of people, including all levels of senior management staff, clients, and various departments within the company. Candidates must be proactive team players, willing to contribute and assist others in the department as the need arises. The ability to handle multiple tasks simultaneously is essential. Proficiency in Microsoft Word, Excel and PowerPoint is required.
